Job Responsibilities
Sales Support
- Assist the sales team in preparing quotations, invoices, and sales orders.
- Handle customer enquiries via phone, email, or messaging platforms.
- Maintain and update customer database and sales records.
- Follow up with customers on orders, payments, and delivery schedules.
- Coordinate with internal departments (warehouse, finance, operations) to ensure smooth order processing.
- Support sales activities, promotions, and customer outreach when required.
Shipping & Logistics
- Prepare shipping documents such as packing lists, delivery orders, airway bills, and customs declarations.
- Coordinate with freight forwarders, courier services, and logistics providers for shipment arrangements.
- Monitor shipment status and update customers on delivery timelines.
- Ensure proper packaging, labeling, and accuracy of outgoing goods.
- Manage stock levels and assist with inventory checks.
- Handle returns, exchanges, or damaged goods procedures.
General Administrative
- Maintain filing and documentation for sales and shipping records.
- Assist with generating reports such as monthly sales summary, shipping logs, or inventory reports.
- Perform other administrative or ad-hoc tasks assigned by the supervisor.
Job Requirements
- Minimum SPM or equivalent qualification.
- Basic understanding of sales processes and shipping procedures.
- Good communication skills in English (additional languages are a bonus).
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Strong coordination, organisation, and multitasking abilities.
- Able to work independently and as part of a team.
- Attention to detail and accuracy in data entry and documentation.
- Experience in logistics, e-commerce, warehouse, or customer service is an added advantage.
- Able to work under pressure and meet tight deadlines.
