Job Responsibilities

Sales Support

  1.   Assist the sales team in preparing quotations, invoices, and sales orders.
  2.   Handle customer enquiries via phone, email, or messaging platforms.
  3.   Maintain and update customer database and sales records.
  4.   Follow up with customers on orders, payments, and delivery schedules.
  5.   Coordinate with internal departments (warehouse, finance, operations) to ensure smooth order processing.
  6.   Support sales activities, promotions, and customer outreach when required.

Shipping & Logistics

  1. Prepare shipping documents such as packing lists, delivery orders, airway bills, and customs declarations.
  2. Coordinate with freight forwarders, courier services, and logistics providers for shipment arrangements.
  3. Monitor shipment status and update customers on delivery timelines.
  4. Ensure proper packaging, labeling, and accuracy of outgoing goods.
  5. Manage stock levels and assist with inventory checks.
  6. Handle returns, exchanges, or damaged goods procedures.

General Administrative

  1. Maintain filing and documentation for sales and shipping records.
  2. Assist with generating reports such as monthly sales summary, shipping logs, or inventory reports.
  3. Perform other administrative or ad-hoc tasks assigned by the supervisor.

Job Requirements

  1. Minimum SPM or equivalent qualification.
  2. Basic understanding of sales processes and shipping procedures.
  3. Good communication skills in English (additional languages are a bonus).
  4. Proficient in Microsoft Office (Excel, Word, Outlook).
  5. Strong coordination, organisation, and multitasking abilities.
  6. Able to work independently and as part of a team.
  7. Attention to detail and accuracy in data entry and documentation.
  8. Experience in logistics, e-commerce, warehouse, or customer service is an added advantage.
  9. Able to work under pressure and meet tight deadlines.
